Parts of a Client Workflow: Calendar
Hi friend 👋🏼 If you’ve been following along, I’ve been reviewing the building blocks of Dubsado’s workflow & automation. Each piece builds on the previous one, and are key to creating as much or as little automation as you’d like in your client’s journey.
Today I’ll be reviewing how to integrate your calendar with Dubsado.

Synchronize Seamlessly
Say goodbye to the hassle of manually inputting appointments into your calendar. Dubsado syncs effortlessly with your favorite calendar apps, whether it's Google Calendar, Outlook, or Apple Calendar. That means no more scrambling to keep track of your schedule across different platforms—it's all in one place, baby!
Pro Tip #1: If you use the Google Suite of products, not only can you sync your main calendar, but you can also sync linked calendars. So if you have a business calendar, but also use linked calendars for personal or family or other appointments (think doctor’s appointments, sports practices, classwork & test dates), all of it can show up in your Dubsado calendar. Pro Tip #2: Along with the ability to sync Google calendar and shared calendars, this is where you’re going to gain the opportunity to automatically link your Google Meet credentials without any additional keystrokes.
Because Meet is part of the Google Suite of products, when you create a meeting invite for a lead or client, and you make it a virtual meeting, Dubsado automatically makes the meeting invite inside your Google profile.

How to Link & Sync Your Calendar in Dubsado
Go to left side menu and select Calendar.
Select Calendar Settings. Then select Sync Calendar. Select your calendar account provider in the new tab that opens and follow the sign in process to get connected.
After Dubsdo’s calendar reloads, click Calendar Settings again and select the calendars you want to link.
Although you can only connect one calendar account to Dubsado, you probably have multiple calendars inside that account to organize different types of events.
How to Link Multiple Calendars
On the Calendar Settings page, you'll see all of the available calendars in your connected account.
Click Link Calendar next to each calendar you want to sync with Dubsado.
Once you link an available calendar, it will appear under Synced Calendars. You can click on a synced calendar to adjust its import and export settings.
Importing Synced Calendar Events
All events from calendars set to import will appear in a light orange color on your Dubsado calendar, like this:
Here’s how you want to think about which synced events you need on your calendar. I’d start by asking yourself this question first: Do the events on this calendar require me to be physically part of them?
If you have a calendar with personal events on it, but they’re of the kind that you have to attend, I recommend synching them to Dubsado. That way your leads & clients cannot accidentally double book you for an appointment.
If you have a calendar for business planning or marketing purposes only, and it has some more flexibility, you may not need to sync it. Think of a marketing calendar with social media posts planned on it. You may want to skip syncing it if you’re ok with the possibility of being booked for an appointment on that day that the post is due.
Exporting Your Dubsado Calendar
Setting a synced calendar to export allows you to see Dubsado events, such as projects with dates and scheduled appointments, while looking at your calendar outside of Dubsado.
For example, you have a synced calendar called "Work" set to export. When you look at your calendar outside of Dubsado, you'll see all of the Dubsado events on the "Work" calendar.
This is the easiest way to stay up to date on booked Dubsado events if you’re away from your computer, on your phone.
Pro Tip #3: Only set ONE calendar to export, or you risk creating duplicates of events. It can get gnarly pretty quickly. Yuck!
